Basic Reporting

To access reports you need to have the user permission enabled. An Administrator can edit a user’s settings, to allow basic reporting access.

Admins: You can go to Settings - Users - Relevant User and either select the administrator tick box and save, or if a user need access to Reports but not administrator rights you can go to Settings - Users - Relevant User and go to Report user, from this drop down you can select a user with access - this means that when the relevant user goes to reports their system will mirror the permissions of the selected user in the drop down (for reports only)

To get started on reporting, click the 'Reports' tab found at the top of Accelerate and a new tab/window will open, looking similar to this:

As you can see, the tabs at the top resemble your normal Accelerate. These tabs allow you to do reporting on your chosen topic. 

You will need to select your topic and then you will be taken to a page like this.

 

Note: You can only see 200 rows on each page maximum. This limitation is to protect system performance for all users. However, you can download up to 5,000 rows (50,000 on Relationships and Contracts) through the reporting engine using Actions, Download, CSV. Should you need a more advanced solution please contact us for information about our Insight product.

Our reporting suite has a number of useful tools. Due to the default report containing so many columns, it might be easier to hide the columns you don't need for your desired report. So let's imagine I wish to run a report to see which vehicles have a  Confirmed Delivery Date of tomorrow. So that I can call the customers and make sure everything is ready to go. The only columns I'm interested in are: Order ID, Customer name, Order date, Customer Email, the Vehicle Details and of course; Confirmed Delivery date.

In order to show/hide your preferred columns click on 'Actions' and then choose 'Select Columns' from the drop down menu that will appear.

 

After selecting this option you will see the following screen:

 

In order to hide the columns you don't want, select them by clicking them and then choose the single arrow in the middle pointing toward the other box. If you wish to move more than one column at once, simply hold down 'Ctrl' (or cmd for Mac users) and select all columns you wish to move before pressing the arrow. If you wish to hide all at once use the double arrow.

As stated earlier I only want the following columns to appear in my report: Order ID, Customer name, Order date, Customer Email, the Vehicle Details and Confirmed Delivery date. This is how it would appear on this screen: 

 

When you're happy with which columns are going to be displayed press 'Apply' and your report will now only display the columns you are interested in: 

Now that the report is easier on the eye we can start manipulating the data to fit your needs.

In most cases, filtering will be the main function used. There are two ways to filter within Accelerate. In this article I will demonstrate two different approaches to achieving the same outcome. 

The first way to complete this task is to single left click on the column you wish to filter, in this case Confirmed Delivery Date. 

Here you can choose one of the existing filters or type your own in the text box. For the report mentioned earlier, I will select 'Next Day'.

The alternate way to use a filter is to head to 'Actions' and select 'Filter'. Here you have more freedom to create a custom filter.

 

Please Note: If filtering between two dates that include a time, this will filter from 00:01 on the start date until 00:00 on the end date.

So, now I can see all deliveries that are due to go out tomorrow. One handy feature is the ability to save a report, meaning that when you wish to run this report in the future you won't have to go through this process. To save a report you do the following: Click 'Actions' and select the 'Save Report' button.

 

Once here you will be prompted to add a report title and description

 

Once saved, you can access this report through the 'Reports' dropdown menu. All custom reports can be found in the 'Private' section.
