Organisation Settings
Administrators are able to organise and view details about their own Accelerate via a tab in 'Settings'. Once you're under Settings, click on 'Organisation Settings' and you will find an interface that enables you to organise and edit your Accelerate:
Several bits of information will be read-only, meaning you cannot edit them. These include your display name, subdomain, parent client, user limit and logo URL.
Your company's address will also be displayed here and you can edit it or add more details as needs be. The lead SMS originator is also stored here - this is the name that will appear when you send a non replyable text to a client through QV and can be changed to suit your needs. The number of quotation validity days you want is also in here and can be changed as you see fit.
This is also the place you can go to change the colour scheme of your QV. Simply click the rainbow box to select a colour for the corresponding area of your webpage and it will be changed to this colour once you have pressed save.
You can also use the 'No Relationship Delete', 'No Quote Delete' and 'No Document Delete' boxes as follows:
No Relationship Delete: Unchecking this box will mean that Accelerate users can delete relationships - this includes all quotes, orders, contracts, drivers, vehicles and everything else attached to those relationships.
No Quote Delete: Unchecking this box will mean that Accelerate users can delete quotes - this includes the quote information saved in the system, as well as all documents generated as part of the quoting process.
No Document Delete: Unchecking this box will mean that Accelerate users can delete documents that have been uploaded to a Relationship, a Driver, a Quote or an Order. They cannot delete system-generated documents.
We recommend leaving all three of these boxes checked.
One of the most important changes you might want to make is the 'Maintenance Y Flag Text' and 'Maintenance N Flag Text'. These fields dictate what will be shown on your customer's documents when you either select maintenance or not. As a default, these will just display 'Y' and 'N' respectively if nothing has been entered.
A relatively new feature in Organisation Settings is the ability to specify what proposal and opportunity statuses you'd like Accelerate to automatically select when a quote, dealer order and sales order is sent. To do this, simply choose the statuses you'd like to use by using the dropdown menu for each document type.
Another new feature is the ability to have the excess mileage field on a quote appear with text should you not know the excess mileage at the point of quotation. For example, 'TBC' could appear on the quote until this is known. To use this feature, input the text you want into the 'Excess Mileage Zero Text' field as highlighted below.
Once you have input the text you require and saved your settings, ensure that when quoting with unknown excess mileage the fields are input at '0'. Your chosen text should then appear on your quotes.
Birthday Reminders: unchecking this box will stop the system creating tasks alerting account managers to their contacts' birthdays.
Whenever you make a change, don't forget to press 'Save' to keep your changes!
