Checklists

If you want to ensure users are completing a set of necessary steps, you can use our checklist feature.

To get started, head to the 'Settings' tab and Workflow Settings and scroll to the 'Checklists' section: 

Here you can see/edit all existing checklists (if you have any).

 

To add a new checklist, press the 'Add Checklist' button and you'll find yourself on a screen similar to the one below:

The description field is used to identify what the checklist is used for and will be displayed in the table shown earlier. This will help you keep track of all your active checklists.

Selecting the Type dropdown box will you to choose which set of statuses you want the checklist to relate to. There are three options: Opportunity Statuses, Proposal Statuses and Order Statuses:

Once you have chosen which set of statuses to assign the checklist to, you can then choose at which status you want to run the checklist. (You should have your custom statuses already set up. If you don't, please email http://support.quotevineapp.com to get this sorted) : 

The status you choose dictates when the user changing the statuses will be faced with the checklist, the checklists can't be skipped. Choose carefully.

After you have designated the checklist to a status, you can define which finance types and which lenders you want the checklist to apply to:

If you don't select any of these conditions, the checklist will run on all variations so long as the relevant status is selected.

When you've selected all (or none) of the relevant products/lenders, press the save button. A new section will appear at the bottom:

it's time to design your checklist! Start by selecting 'Add Row':

So. The ordinal value dictates where the question/check will appear on the list. The lower the number, the higher up on the list. We would recommend setting ordinal values as multiples of 10 to start, this way you can add extras easily before and after your initial choices.

The description is what the user will see when they are faced with the checklist. Use this space to ask a question or remind them to check.

The related field section shows which field the information will be drawn from/overwritten to. In the example above, the related field is the relationship's date of birth. If the user has already input the date of birth, when the checklist appears, it will display the relevant information.

To see the available fields press the small up arrow next to the input field.

If you want to make sure that a user cannot move on until they input information, tick the response required box.

You can add as many or as little checks as you'd like.

When you're happy with your checks press the submit button.

As you can see below, Quotevine will display who created each check, when it was created as well as when it was last updated and who by:

Your checklist is now saved and ready to use!

But, what does it look like to a user and what happens?

Below, I have created an opportunity and progressed the status to 'New Opportunity' (matching the status set above). Once I press the save button I find myself on this screen:

I cannot leave this screen until every check box is marked. If response is required, I must fill in the details as well as checking the box.

Once these steps are done, press the submit button and the status will be changed.
