Custom Fields

Sometimes you want to record some extra information relating to a relationship, but there just isn't anywhere to store this. This might be an external reference or a piece of information that you use as part of your normal processes. In order to create a place to record this information within the Quotevine application you can setup custom fields. These fields will then be available to all users when they edit the relationship.

To set up a custom field, head to Settings > Custom Fields and click the Add Custom Field button. This will display a summary of all custom fields that have been created:

The select list at the top will display a list of all pages where fields can be added. Click on Add Custom Field to define your field:

The label is displayed to the user viewing this relationship page and should describe the information that is being recorded. In this case we want to save an External Reference and it is a text field. The types of custom fields that you can add are Text Field, Text Area, Checkbox and Select List. Text Field and Text Area allow text information to be saved, Checkbox allows for a Y/N answer where the user can tick a checkbox and Select List allows you to specify a list of acceptable values:

In this example, we've created a Select List custom field where there user has the options to select values 1 to 5.

You can flag a custom field as required, which will prevent users from saving relationship information without completing this field first. Please consider all scenarios when flagging a field as required as a user will be prompted for this information when they are making changes to an existing relationship as well as new relationships.

A custom field can only be deleted if it hasn't been used, however you can untick the Active? flag on existing fields so that they are no longer displayed to the user. Any information previously recorded in the field will be available via reporting, but will not be available on the Edit Relationship page. If you wish to change the label of a field then this is possible at any change, however any data already stored will appear to have been added against the current label. So should the label change alter the purpose of the field, then it's recommended that you create a new field instead. 

Once your custom fields are setup, they will automatically appear on the Edit Relationship page to all users for all relationships:

It is also available via the Custom Field report (Reports > Custom Fields) where you can create your own reports using this information:

Please note that it is not possible for workflow and actions to fire based on custom field information, it is simply for recording data.
